Users and Administrators

Objectives

0 / 5 objectives achieved — check them off as you go through the lesson.

Why it's useful

Karim has his spreadsheet of 30 collaborators. He first creates his executive assistant with quick add, to test. Then he imports all the others at once. The day an intern finishes their contract, he deactivates her with one click: she loses access to everything, instantly.

Your turn

All actions start from the Users tab in the administration menu.

  1. Quick add. Click on Add a user and enter your second email address: the first name and last name are automatically deduced. Leave Administrator disabled and Send invitation email now disabled, then click on Create and manage access. See Create users.
  2. Bulk add. Click on Add users, add two fictitious accounts to the waiting list with Add user, then click on Confirm. The warning about folders is normal at this stage: choose Continue anyway. See Bulk add.
  3. Locate the Import button on the same page: this is what creates accounts from a CSV file, for example, the one from your census.
  4. Invite. Go back to the list and click on Invitations to invite your test user. See Manage users.
  5. Register via QR code. In the Registration column, click on the QR Code button and scan it with the VaultysID from your second device.
  6. Filter. Try filtering by status, by role, and by registration.
  7. Grant and then revoke administrator rights with the switch in the Administrator column.
  8. Deactivate and then reactivate a fictitious account with the switch in the Status column.
  9. Browse the ⋮ menu of a line: View profile, Manage access, Create a temporary VaultysID, Replace the VaultysID, Delete the user. The two VaultysID actions are covered in lesson 7.
Import from a directory

Manual addition, bulk addition, and CSV import are part of the basic offer. Importing from a directory (Google Workspace, Microsoft Entra ID, LDAP) requires the Integration module.

Deactivate rather than delete

Delete user permanently erases the account and all its data. To cut access, for example during a departure, prefer to deactivate: it is reversible, and a deactivated account is not charged (Pricing).

Check your knowledge

1You create a user with quick add. What happens after clicking on Create and manage access?
2Which of these imports is part of the basic offer?
3A created user is not yet registered. How to finalize their registration face to face?
4A collaborator leaves the company. Which action is reversible?

To remember

  • Quick add for one account, bulk add or CSV import for multiple.
  • A created account must still be registered: by email invitation or by QR code.
  • To cut access, deactivate; only delete what really needs to disappear.
